Note: This version update includes the most significant visual changes to the mobile interface. Therefore, we recommend scheduling the update outside of working hours to avoid users being unexpectedly affected by the changes during the workday.
Upgrading to version 1.7.1 requires version 1.6.52 to be installed first. Customers upgrading from older versions will first be upgraded to version 1.6.52 (immediately, with a single click). Once this has been completed, the upgrade to version 1.7.1 can be scheduled.
The update can be scheduled from today up to 14 days in advance by selecting a date and time that best suits your needs. Scheduling is available in 15-minute intervals.
After the update, please review user group permissions, as new privileges and configuration options have been added to the system.
Desktop version improvement
- [#127] Visual improvements to the Work Order PDF printout (updated with a cleaner and more spacious layout).
- [#140] Added the ability to join an active work order.
- [#140] Added the ability to reassign work order ownership to another team member who has already joined the work order.
- [#294] Added the ability to view emails sent through the AllDevice platform and, if necessary, resend them or forward a copy to a third party. The list of sent emails can be found under System > Sent Emails. Appropriate privileges are required to use this functionality.
- [#295] Added a delivery status indicator to the Completed Task Reports list. A new column displays an envelope icon to indicate whether the report has been sent by email. Filtering by the statuses Sent and Not Sent has also been added.
- [#326] Added the ability to create tasks without a scheduled date (task orders). To support this, a new option, “+ Task order”, has been added to the task creation menu.
Created task orders are displayed in a separate list, accessible via the new “Task Orders” button added to the top navigation bar. Access to this menu requires the appropriate privileges. - [#387] Added the ability to assign a type to recorded work time (e.g., Transportation, Diagnostics, Maintenance, etc.).
The available work time types must first be configured under Settings > Tasks > Work Time Types. Access to this configuration menu requires the appropriate privileges.
When starting a task, users can select a work time type (for example, “Transportation to Site”) and switch to another type as the nature of the work changes (for example, “Maintenance”) without stopping the work session.
When work time types are used, the selected type is displayed alongside recorded time entries in work time reports, as well as on work order and completed work report printouts.
In addition, it is possible to create work time types marked as “Internal”. These entries are not shown on completed work report printouts. This is useful for recording activities related to a specific work order that should not be counted as maintenance or repair time, or that are not billable to the customer. - [#438] Added the name of the latest task stage to the column selection in tasks table views (ACS215).
- [#600] API Enhancements: Added the ability to postpone one or multiple work orders or reminders, either to a specific date or by a defined time period.
- [#626] API Enhancements: Added the ability to create, update, and delete downtime records via the API.
- [#650] On the work order form, Used Parts and Extra Costs have been separated into distinct tabs for improved organization and usability.
- [#635] Added a warning when deleting dropdown options for custom fields in the Settings window if the option is currently in use.
- [#714] Updated the content of the spare parts order notification email, as well as the design and content of the PDF file attached to the notification. Notifications are now sent only when a new spare part has been added to the list or when the quantity of a previously listed spare part has decreased.
- [#730] The user group privilege “Show tasks of all performers on front page (receive tasks of all performers to email)” has been split into two separate privileges: “Show tasks of all assignees on the front page” “Receive tasks of all assignees to email” This change provides more granular control over user access and notification settings.
- [#735, #1069] Updated the Actions pre-sets list view. Added the ability to group and filter records by group.
Each Actions pre-set now also displays information about how many task sheet templates or open work orders are currently using that group. Groups that are in use cannot be deleted.
Clicking the usage count opens a list showing the devices associated with the group, along with the related work orders or task sheet templates. - [#747] Added a gradually increasing “cool‑down pause” after 10 incorrect password attempts. This applies only when the user’s IP address is on the friendly IP list (whitelisted). Otherwise, the IP address is blocked after the tenth failed attempt.
- [#751] Added a new Counter Readings tab to the device card. The tab becomes visible after the first counter reading has been recorded for the device.
Meter readings can be entered from the device tree or the devices list by selecting “Update Counter Reading” from the device context menu.
Users must have the appropriate privileges to access these functions and view the related menu options. - [#868] Added the ability to enter a comment (reason for postponement) when postponing a work order. The comment field can also be configured as mandatory through the system settings.
When a work order is postponed, a new tab called “Task Postponements” is created on the work order form. This tab displays the complete history of all postponements related to the work order.
Note: This functionality is not retroactive. Postponement history will only be recorded and displayed for postponements made after upgrading to this version. - [#888] Enhanced the user experience of dropdown lists by adding a search function, making it significantly easier to find the desired options in long lists.
- [#953] Added a new setting for Spare Part Card Custom Fields that allows administrators to define whether a custom field should also be available in the column selection list of spare parts tables.
- [#962] Added the ability to download multiple files at once. Select the desired files, and they will be automatically packaged into a single ZIP archive, which will then be downloaded to your computer (#15).
- [#1043] API Enhancements: Added new API endpoints for retrieving lists of files associated with devices, spare parts, and work orders. In addition, a dedicated endpoint has been added for downloading files.
- [#1052] Added a new custom field type, “GPS Coordinates“, to the device card custom field configuration.
When this field type is used, a clickable link is displayed on the device card that opens the entered coordinates in the user’s default navigation or mapping application, as defined in their profile settings (e.g., Google Maps, Waze, Apple Maps, or OpenStreetMap), or in any other user-defined application.
For example, a custom URL format such as:
myapplication.com/coordinates={lat},{lng}
can be configured. The variables {lat} and {lng} are automatically replaced with the entered coordinate values.
This functionality works with applications and services that support receiving coordinates as URL parameters. - [#1058] Complete File Management Overhaul
The file management functionality and all file-related views have been comprehensively redesigned across the entire system.
All Images Included in PDF Printouts
Previously, only a limited number of images were included in Task and Completed Task Report PDF printouts. From now on, all related images are included in the generated PDF.
If the size of the outgoing file exceeds 10 MB (this limit can be adjusted in the settings), the file will no longer be attached directly to the email. Instead, a download link will be included. Generated links can be configured with both expiration periods and maximum number of downloads.
New File Manager (Requires the appropriate privileges)
A new File Manager has been added under System > File Manager, providing access to:
– A list of uploaded files
– A file management dashboard
– Links generated for file sharing
– The ability to replace an existing file with a new version
Automatic Image Optimization
When images are uploaded, their resolution is automatically reduced (maximum 2560 × 2560 px) and their quality is optimized to reduce file size. In most cases, the visual difference compared to the original image is barely noticeable.
As part of this upgrade, all previously uploaded images in the system will also be optimized.
If you need to preserve a file in its original form, we recommend compressing it into a ZIP archive before uploading.
Duplicate File Detection
When a file is uploaded, a unique content-based fingerprint (hash) is stored in the database. Renaming a file does not affect its fingerprint.
Before a file is stored, the system checks whether an identical file already exists. If a duplicate is found, the existing file is reused, and no additional copy is stored.
Local File Comments
Previously, changing a file name affected how the file was displayed everywhere it was used. It is now possible to add local comments to file references.
A local comment is displayed only in the specific context where it is assigned. For example, the same file may be linked to both Device A and Device B, while displaying a different comment for each device. - [#1062] Added the ability to display previous measurement values on a work order, next to the measurement input field. This feature can be enabled individually for each measurement via Settings > Measurements > Measurements > … /Measurement Name/. Open the desired measurement and enable the “Show Previous Reading on Work Order” option. When enabled, users can see the most recent recorded value while entering a new measurement, making it easier to compare readings and identify changes.
- [#1114] Added the ability to skip regular tasks. When skipping a regular task, entering a comment is mandatory to document the reason for the skip. A skipped task is closed without generating a Completed Task Report, and the maintenance interval continues as if the task had been completed on schedule. Skipped tasks are highlighted in purple within lists for easier identification. In addition, filtering options have been added to task views, allowing users to filter records based on whether a work order has been skipped.
- [#1115] Added an option at the bottom of Settings > Settings > Functionality to define an External Link Template, into which the value of the External Reference field can be automatically inserted.
For example:https://domainname.com/?related_record={external_ref}
When an External Link Template is configured, the External Reference field in the Tasks table becomes a clickable link that opens the generated URL in a new browser window.
This allows seamless integration with external systems by providing direct access to related records based on the tasks external reference value. - [#1125] Updated the visual design of the Device Card. Standard fields and custom fields are now grouped into separate sections to improve readability and provide a clearer overview of device information. In addition, the visibility of custom fields can now be controlled through user group privilege, allowing administrators to show or hide custom fields based on the access rights assigned to each user group.
- [#1134] The user group privilege “Add and Edit Locations and Devices” has been split into the following separate privileges: Add Locations, Edit Locations, Delete Locations, Add Devices, Edit Devices, Delete Devices This change provides more granular access control, allowing administrators to assign location and device management privileges independently.
- [#1143] Updated the process for modifying closed tasks. When an closed task (green) is edited, its status is now automatically changed to “Editing” and remains in that status until the changes are approved. Once the changes are approved, a new version of the associated Completed Task Report is generated, reflecting all approved modifications. If a user closes a task that was opened for editing without approving the changes, the work order remains in “Editing” status. Such tasks are highlighted with a light green background in lists, making them easy to identify. To prevent multiple users from editing the same work order simultaneously, the work order is locked to the user who initiated the modification process. If necessary, other authorized users can still take over the work order for editing.
- [#1177] Added the CC and BCC columns to the Settings > Executors
- [#1204] Added a new “Log” tab to Settings > Settings, displaying entries related to configuration changes.
- [#1205] Changed the XLS export of the Tasks table to be dynamic. Previously, a fixed view was exported; now the export reflects the view you see — the currently visible columns in the selected order.
- [#1208] Added an option to receive an e‑mail notification when a task is closed/confirmed (regardless of who created it). To enable the notification, activate the privilege “Receive e-mail notification when any task is completed” in the user’s privilege group (Settings > Users > Groups > …/desidred group name/… > Tasks [E‑mails]).
- [#1209] Updated the PDF attachment titles of scheduled notification e‑mails to match their content, and added the date to the filename (replacing the previous generic report.pdf).
- [#1210] Added the spare part manufacturer to the column list of the device card’s Spare Parts tab.
- [#1221] Added an option to automatically include the basic task details when manually sending a single e‑mail (in addition to the predefined message template). The feature can be enabled under Settings > Settings > E‑mail settings > [functionality] – Add task details to email body when sending out single task to email [On / Off].
- [#1226] Added an option in task lists to filter out tasks that have no task stage set.
- [#1227] Added an option in the external link settings to download the QR code. Updated the appearance of the QR code window on both the device card and the spare part card.
- [#1228] Added two new dynamic filter options to the date filter window: “From yesterday” and “Previous month”.
- [#1229] Added a new column “Overdue” to the Tasks table. The column displays the number of days between the planned date and today: a positive value shows how many days have passed since the planned date, while a negative value shows how many days remain until the planned date.
- [#1230] The alphabetical sorting of locations in the device tree now follows the default language specified in the settings. Language‑specific characters are sorted according to that language’s alphabet, rather than being placed at the end or next to a similar standard character.
- [#1234] As an alternative to closing tabs via the [x] button, tabs can now also be closed by pressing the mouse wheel while hovering over the tab title.
- [#1246] Added a new custom field type, “Password“, to the Device Card custom field configuration.
Data entered into this field type is stored in the database in an encrypted format, ensuring the secure storage of passwords and other sensitive information.
Viewing and copying password values requires the appropriate user privilege. This allows access to sensitive information to be restricted to authorized users only, improving security and access control. - [#1256] Added a validation mechanism to the Custom Field Management interface that prevents changing the type of a custom field that is already in use. If a custom field contains data, its field type can no longer be modified. This safeguard helps prevent data loss and ensures the integrity and consistency of existing information.
- [#1257] Added the ability to change the assigned technician by dragging and dropping a work order from one technician to another in the monthly, weekly, and daily calendar views. This enhancement provides a faster and more intuitive way to reassign work orders directly from the scheduling interface, without having to open and edit the work order details.
- [#1299] Added Filter Presets to the Reports > Working time report table.
- [#1332] The Custom Fields functionality is now permanently enabled. The option to disable this functionality has been removed from the system settings. Management of Device Custom Fields and Spare Part Custom Fields has been moved from Settings > Settings > Functionality to dedicated menu sections: Settings > Devices > Custom Fields and Settings > Spare Parts > Custom Fields Access to the Custom Fields management menus requires the appropriate user group privileges.
- [#1367] Added the ability to filter tasks by device manufacturer in the Tasks table (#64).
- [#1380] Added support for multi-select location filtering in the Reports > Repairs table.
- [#1453] Added a Device Manufacturer column to the Reports > Repairs table, along with the ability to filter records by manufacturer. The manufacturer filter is displayed only when the Device Manufacturer column is enabled in the table view.
- [#1456] Enhanced the Departments functionality by adding the ability to associate departments directly with selected devices. Previously, departments could only be assigned at the location level. With this update, departments can now also be linked to individual devices, providing more granular organizational structure and improved asset management flexibility.
- [#1207, #1215, #1232, #1233, #1252] Minor usability improvements and enhancements.
Mobile version improvements
- Completely updated mobile‑version user interface.
