Functionality
Number of days before task date to send notification email (0 = only up to today): Every morning, all the work that is still to be done and that needs to be done today is sent by email by default. This parameter also allows you to send tomorrow’s (1), tomorrow’s + the day after tomorrow (2), etc…. work orders.
Number of days after which the notification email will be sent about the unfinished tasks (0: not sent): This parameter can be used to set Alldevice to send an e-mail notification about work in progress for a selected number of days (or more). The notification e-mail will be sent to users whose group permissions are set to “Notifications of work in progress”. If the parameter is set to ‘0’ (zero), no notifications will be sent.
General
Sender’s name: The name displayed to the recipient of the letter.
Subject for upcoming tasks email: the subject of the task report e-mail that is displayed to the recipient of the e-mail.
Subject for reminders report email: the subject of the reminders e-mail that is displayed to the recipient of the e-mail.
Subject for unfinished tasks rpeort email: the subject of the e-mail informing of works not completed in due time.
E-mail format: (HTML / PDF) Option to choose the format of the work order to be issued by e-mail. If you tick both boxes, the work order will be sent in both HTML format and as an attachment in PDF format.
This functionality is becoming obsolete, and the ability to send work orders or tables in HTML format in an email will disappear, leaving only the PDF attachment option. This is due to the fact that different mail clients display the HTML format differently.
Completed tasks reports
Default CC: Address to which an e-mail copy of the works report is sent by default.
Default BCC: Address to which a dummy e-mail copy of the works report is sent by default.
The subject of the email for the completed work report is generated automatically for the email and consists of the following parts (the subject can be modified at the time of sending the email):
- Document name (according to the default language):
- Document number:
- Device name:
- Brief description of the work (title).
For example: Completed Work Report 123 – Ventilation Unit – Annual Maintenance.
E-mail content: the content of the e-mail of the work file, which is displayed by default. At the moment of sending, it is possible to complete or modify the content of the e-mail.
