What is the benefit of inserting an barcode (EAN) number into a part?

EAN is an abbreviation for European Article Number. It is an internationally recognised standard (also known as the IAN – International Article number) that defines how to create a unique barcode for a product. Read more HERE.

What is the use of the EAN code in the Alldevice application?

In most cases, spare parts come in a package with a barcode already printed on it. The number under the barcode is the EAN code that should be entered on the spare parts card in Alldevices.

The EAN number can be manually punched on the spare part card or read with a barcode scanner. To do this, first click the cursor in the EAN field of the card and then read the barcode from the package with the scanner.

If you are performing a parts receipt (stock level increase) in the Alldevice CMMS application, you can, if you have a barcode reader, use this barcode to add the parts you want to the purchase document, just like you would do in the store when you go to buy milk and bread.

In the same way, you can use a barcode scanner to scan in the spare parts used to complete a task, or use a camera on your mobile app to read the parts you want on the task.

Using a barcode can make life easier and more convenient. It depends on the profile of your business. If you use the same spare parts over and over again, it’s definitely a plus. If spare parts are more of an exception or are mostly different (not repetitive), then using a barcode may not have a visible effect, as it also takes time to enter the initial information on the spare parts card.

If you have spare parts that do not have a barcode on the packaging, you can also create one yourself. You don’t have to stick to the EAN standard. Assign an arbitrary code or use an existing code, for example one you use for accounting. It is important to make sure that the code is not too long. Otherwise the barcode will not fit reasonably when printed on the label.

Can we also use a QR code instead of an EAN code?

Yes, it is possible. You can also generate a QR code from the EAN code, or store the information in the QR code in the EAN field of the card. The Alldevice mobile app supports both barcode and QR code reading.

If you also want to read the QR code on the computer version, you need to make sure that your barcode reader also supports QR code reading.

Is it complicated to install and set up a barcode reader on your computer?

For the most part, it is extremely simple. You plug the reader into a USB port on your computer and you’re done. All the barcode reader does is read the code and enter it into the computer where the cursor is blinking, and then automatically press ENTER.

On receipt of goods and in the window for adding spare parts in the task, the cursor will already be blinking in the correct field by default. If you have clicked the cursor somewhere else, the reading may not be successful.

Where can I buy a barcode reader?

Shops or online stores selling office supplies or computer goods are a sure bet. Google “USB barcode reader” on the internet and you’ll have plenty of matches to choose from.
